The Administrative Coordinator shall provide all required administrative and clerical
support to the Executive Director, Chief Operation Officer and other administrative staff
as assigned in all aspects of department operations. The Administrative Coordinator
reports to the Human Resources Director.
WORKING RELATIONSHIPS:
Internal Relationships: Agency personnel and Board of Directors.
External Relationships: External and Community Agencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Track data as requested in support of all KYJO programs as appropriate.
• Updates and manages comprehensive records of donors and donations through the
donor manager program ..
• Assist in the development of documents to support KYJO department functions as
needed.
• Organize meetings or events as necessary to support Administrative Staff, and Board
of Directors.
• Provide staff support at meetings and activities as assigned.
• Ability to organize and facilitate fundraising efforts in support of the administrative
team.
• Researches and coordinates the development and implementation of special projects
• Ability to provide reception duties as necessary including: answering, screening, or
making calls as necessary.
• Ability to build relationships with donors, board of directors and community
members.
• Willing to work a flexible schedule to provide coverage if program has late or
evening hours.
• Provide excellent written and verbal communication skills to both internal staff and
external customers.
• Possess excellent skills in MS Office Suite.
• Regular Attendance.
• Perform other duties and special projects as assigned.

EDUCATION AND/OR EXPERIENCE
• Bachelor's Degree or Associates Degree in Business preferred.
• High School Diploma or Equivalent plus 3 years providing administrative assistant
duties required.
• Recognized completion of a secretarial program certificate or equivalent obtained
through relevant job experience.
• Demonstrate competency in clerical and administrative tasks including the operation
of an advanced computer system with proficiency in MS Word, Excel, Outlook, and
the Internet.
• Be willing to attend classes when asked by management to increase knowledge of
programs.
SKILLS/KNOWLEDGE
Have the ability to:

Communicate effectively with social workers, therapists, and all employees ofYFC.
Effectively perform the clerical duties required.

TRANSPORTATION
If the use of your personal vehicle is necessary for KYJO business, you will be
responsible for keeping a mileage record and submitting it to your supervisor for
reimbursement. Proof of current liability insurance on personal vehicle must be provided
at time of employment and when it expires. Personal vehicle insurance is the primary
coverage in case you are in an accident in your vehicle while on business for KYJO.

This position regularly requires being able to work at close vision (clear vision at 20
inches or less) and to adjust focus (ability to adjust the eye to bring an object into sharp

The typical noise level in the work environment of this position is of moderate notice.
On occasion, you may be subject to a loud noise level from accumulation of activity in
the lobby/office area. Ability for auditory distinction during load peak times.
WORK ENVIRONMENT-SOCIAL
Employee shall work in a non-hostile work environment. This is, the employee is
expected not to engage in any activity that unreasonably interferes with performance of
any other employee, such as sexual harassment, unlawful discrimination or any other
behavior unduly demeans or intimidates another employee.
As an essential function of this position, the employee must be able to handle levels of
stress satisfactorily and be congenial with other employees, clients, community and

PRE-EMPLOYMENT REQUIREMENT
Any offer of employment is contingent upon taking and passing a health screening/TB
test, which is required to have within the first 7 -days from start date (or your most recent
TB test within the last year). The examination assesses a candidate's ability to meet the
physical demands of the position with or without accommodation in accordance with
applicable statues for applicants with disabilities.
Current CPR and First Aid certification or scheduled to certify within the first 45 days.
Any offer of employment is also continent upon taking and successfully passing a
criminal background investigation (live scan); the guidelines set forth by the Department
of Justice in accordance with the State of Social Services (Community Care Licensing).
Any offer of employment is also contingent upon having a DMV record that passes the
criteria from the Agency's insurance carrier and providing said record at time of
employment and receiving good and valid rapports on reference checks.
